Job Summary

The Medical Scheduler is responsible for scheduling routine endoscopic procedures and appointments that are performed by GI Associates' physicians. The Medical Scheduler works closely with PSC management, PPR's and/or triage when questions arise regarding the procedure.

Summary of Essential Job Functions for Medical Scheduler:

  • Demonstrates basic understanding of GI Anatomy and Physiology and GI related diagnostic procedures and treatments
  • Conveys information to the appropriate staff in a timely manner in the form of procedure orders and/or notes (Physician, Clinical Manager, PPR, Hospital Department, etc.)
  • Routes notes to internal physician practices regarding questions about patient procedures, recalls, and symptoms. If patients' office consultation/follow-up request requires urgency due to patient symptoms/chief complaint or due to patient desire to be seen sooner
  • Communicates procedure information and patient instructions accurately, appropriately, professionally, and in a timely manner to patients and/or patient family members, nursing home staff, etc.
  • Schedules office visits, EGD, Colonoscopy and Flexible Sigmoidoscopy at appropriate site according to: patient self referral (screening colon); recall from previous visit; referral from patient's PCP or specific request from internal MD practice
  • Sends appropriate paperwork to patients regarding upcoming appointments.
  • Obtains patient information accurately and verifies patient registration and insurance information in the office Practice Management System (PMS)
  • Answers all incoming calls to department as a priority to all other assignments
  • Utilizes Practice Management System (PMS) and hospital Electronic Medical Record (EMR) appropriately and efficiently
  • Documents patient information (including, but not limited to, medications, allergies, heart history, breathing issues, etc as outlined in pre-procedure evaluation) accurately and in a timely manner
  • Works collaboratively with all departments within the organization and/or referring physician offices to optimize patient care
  • Performs general clerical: data entry, photocopying, filing, faxing, and ing
  • Maintains a professional attitude at all times
  • Flexible in meeting the needs of the department
  • Maintains a high level of patient confidentiality
  • Facilitates a harmonious work environment, whereby treating all patients and coworkers with respect and dignity
  • Maintains a safe work environment and a clean and organized work station
  • Adheres to all current and future guidelines/policies set forth in the GIA employee handbook
  • All other duties as assigned

Minimum Requirements for Medical Schedulers

  • High school diploma or equivalent, required
  • One year minimum customer service and/or medical office experience or equivalent relevant medical schooling

Desired Qualifications for Medical Schedulers

  • Medical Assistant Program, LPN or RN, preferred
  • Certified Medical Assistant or ABR-OE certified, preferred
  • Previous health insurance knowledge/experience
  • Proficiency in Microsoft Office Word and Excel applications
  • Knowledge of MSDS and Bloodborne Pathogens
  • Knowledge of Emergency Plan and OSHA Standards
  • Knowledge of and compliance with HIPAA standards
Physical Requirements for Medical Schedulers

  • Ability to remain in a stationary, seated, position for 90% of the time, or greater, throughout the work day
  • Sufficient hand, arm, and finger dexterity to operate a computer keyboard and other office equipment
  • Speaking and hearing ability sufficient to communicate in person or over the /headset
  • Capable of reaching overhead and bending down periodically to acquire paperwork, documents, items in desk, etc.
  • Occasionally must be able to lift up to 10 pounds when moving boxes/packages inside the office
